Executive Assistant – Duties & Responsibilities:
1. Calendar management:
Scheduling appointments, court appearances and meetings with clients and taking notes during
meetings to ensure effective follow-up with clients or other parties involved in legal proceedings.
2. Contact management on Outlook and Internal Systems:
Maintaining a distinct repository of contact information of clients and other parties.
3. Travel management:
Arranging travel bookings such as visas, flights, hotel reservations, and rental cars for
Practitioners and other clients involved.
4. Vendor Management:
Coordinate and oversee vendor relationships, ensuring seamless communication, contract
negotiation, and compliance to optimize organizational operations.
5. Dictation and Word processing:
Taking notes and making documents on MS Word. Formatting documents as per Firm protocols
6. Creating PDF binders:
Merging multiple documents into one PDF document
7. Checking conflicts in mandates:
Checking and circulating conflicts arising in mandates
8. Timesheet Entries:
Filling up timesheets of the reporting Partner and getting timesheets filled by the practitioners in
their department. Generate daily and weekly timesheet report and circulate it to Partners and
Management.
9. Assistance with Firm events:
Managing logistics and material for events organised by the firm.
10. Personal assistance:
Any miscellaneous activity assigned by any Partner.

 Responsibilities:

Human Resources:

 • Assist in the development and implementation of HR policies and procedures.
• Manage the HRMS Software for the attendance management.
• Stay updated on relevant labor laws and regulations to ensure compliance.
• Handle employee queries and grievances, providing timely and effective resolution.
• Oversee the entire joining process for new employees, including preparing appointment letters, conducting introductory sessions, and coordinating with relevant departments.
 • Maintain employee records, ensuring confidentiality and compliance with data protection regulations.
• Prepare and maintain accurate salary sheets for all employees, ensuring compliance with company policies and local regulations.
 • Create and manage overtime sheets, ensuring proper documentation and approval processes.
 • Assist in payroll processing, ensuring accuracy and timeliness.
 • Verify and confirm ESI (Employees’ State Insurance) and PF (Provident Fund) challans and payments.
 • Ensure timely and accurate filing to maintain statutory compliance with relevant authorities.

 Administration:

 • Oversee the procurement and distribution of stationary items, coordinating stock transfer between branches as needed.
 • Maintain inventory of stationary items and other office supplies, ensuring adequate stock levels at all times.
 • Coordinate with vendors for the purchase of office supplies and equipment, ensuring cost-effectiveness and timely delivery.
 • Assist in organizing company events, meetings, and conferences.
 • Manage office facilities and equipment, coordinating repairs and maintenance as required.
 • Provide administrative support to other departments as needed.
• Coordinate with vendors to fulfill various organizational requirements, ensuring seamless procurement processes and optimal vendor relationships.
• Oversee exhibition logistics and participation, including but not limited to booth setup, staffing, and promotional material distribution, to ensure successful representation of the company’s brand and offerings.
 • Establish and maintain effective communication with multiple advertisement agencies – Follow up regularly to ensure timely progress and completion of assigned tasks.

Role Overview
We are seeking a CRM & Tech Ops Executive with foundational knowledge in databases, hosting panels, and basic programming. The role prioritizes managing IndiaMart and website inquiries, maintaining web hosting environments, providing basic PHP/MySQL support, and assisting in website development and data analysis. Ideal for a Diploma holder or BCA graduate with strong task ownership and willingness to learn.

Key Responsibilities (Prioritized Order)
1. Database & Hosting Operations
• Basic handling of MySQL databases, including simple queries, updates, and backups.
• Manage web hosting panels such as OVI Panel, cPanel, and PHPMyAdmin.
• Monitor hosting performance, domain settings, SSL, and server-level configurations.
2. Basic Programming Support
• Assist with simple PHP code changes, error fixes, and small updates.
• Coordinate with senior developers for more complex requirements.
3. Lead Management & Online Inquiry Handling
• Manage IndiaMart inquiries, catalog updates, lead responses, and follow-ups.
• Handle inquiries from company website, maintain logs, and coordinate with sales for lead
conversion.
4. Website Development & Content Updates
• Assist in website development, content edits, page updates, product listings, and structural
improvements.
• Ensure site information, images, and product data are always updated.
5. Basic Data Analysis
• Prepare inquiry and sales reports using Excel or Google Sheets.
• Analyse data trends for IndiaMart and website performance metrics.

Qualifications
• Diploma in Computer Applications / IT / Electronics, or BCA graduate.
• 1–3 years of relevant work experience.
• Basic working knowledge of:
– MySQL
– Web hosting panels (OVI Panel / cPanel)
– PHPMyAdmin
– PHP fundamentals
• Familiarity with website development or basic HTML/PHP structure.
• Experience managing IndiaMart or similar B2B portals.
• Basic skills in Excel or Google Sheets for data analysis.
• Good English communication skills (written and verbal).
• Strong task ownership, ability to learn fast, and willingness to handle multi-disciplinary
