Key Responsibilities:

  1. Job Coordination:
    • Follow up with the Admin or Sales Head for new job orders.
    • Coordinate with the Design Head for plate layouts or generate layouts by identifying stock plates in the workshop.
    • Communicate material and layout requirements to relevant teams if new plates are required.
  2. Documentation & Quality Assurance:
    • Work closely with the Documentation Managers and Planning Engineers to finalize the Quality Assurance Plans (QAPs) for new jobs.
    • Ensure production can start with or without Third-Party Inspections (TPIs) as required.
  3. Drawing & Material Management:
    • Request necessary drawings from the Design Team Head for new job orders.
    • Supervise the raw material (RM) inspections and initiate inspections prior to production.
    • Approve contractor clearance for production if TPI is not involved.
  4. Material Requisition & Tracking:
    • Generate material requisitions based on drawings, whether approved or pending approval.
    • Send requisitions to the Purchase Manager or Planning Engineer via email or courier.
    • Regularly check the ERP system for materials ordered for ongoing projects and track their arrival.
  5. Production Planning:
    • Plan routine production schedules based on the drawings received for components on the shop floor.
    • Follow up with Planning Engineers and the Stores team for the timely flow of materials from outsourced vendors.
  6. Vendor & Material Follow-up:
    • Coordinate with the Stores Manager to track the arrival or receipt dates of raw materials as per requisitions.
    • Conduct fortnightly follow-ups with the Planning Engineer or Purchase Manager regarding material requisitions.
    • Directly contact vendors for delayed supply of materials through the ERP system, issuing critical SOS calls when necessary.
  7. Critical Job Management:
    • Identify and document critical delayed items affecting job completion and communicate these to the Planning Engineer and Purchase Manager, especially concerning Factory Acceptance Test (FAT) call dates.

  Responsibilities:

Human Resources:

 • Assist in the development and implementation of HR policies and procedures.
• Manage the HRMS Software for the attendance management.
• Stay updated on relevant labor laws and regulations to ensure compliance.
• Handle employee queries and grievances, providing timely and effective resolution.
• Oversee the entire joining process for new employees, including preparing appointment letters, conducting introductory sessions, and coordinating with relevant departments.
 • Maintain employee records, ensuring confidentiality and compliance with data protection regulations.
• Prepare and maintain accurate salary sheets for all employees, ensuring compliance with company policies and local regulations.
 • Create and manage overtime sheets, ensuring proper documentation and approval processes.
 • Assist in payroll processing, ensuring accuracy and timeliness.
 • Verify and confirm ESI (Employees’ State Insurance) and PF (Provident Fund) challans and payments.
 • Ensure timely and accurate filing to maintain statutory compliance with relevant authorities.

 Administration:

 • Oversee the procurement and distribution of stationary items, coordinating stock transfer between branches as needed.
 • Maintain inventory of stationary items and other office supplies, ensuring adequate stock levels at all times.
 • Coordinate with vendors for the purchase of office supplies and equipment, ensuring cost-effectiveness and timely delivery.
 • Assist in organizing company events, meetings, and conferences.
 • Manage office facilities and equipment, coordinating repairs and maintenance as required.
 • Provide administrative support to other departments as needed.
• Coordinate with vendors to fulfill various organizational requirements, ensuring seamless procurement processes and optimal vendor relationships.
• Oversee exhibition logistics and participation, including but not limited to booth setup, staffing, and promotional material distribution, to ensure successful representation of the company’s brand and offerings.
 • Establish and maintain effective communication with multiple advertisement agencies – Follow up regularly to ensure timely progress and completion of assigned tasks.
• Manage and operate the Petty Cash Management Software to ensure smooth and accurate expense transactions.
