Job Overview:
The Purchase Officer will oversee the company’s purchasing activities and manage supplier relationships. The individual will be responsible for sourcing goods and services, negotiating contracts, ensuring cost-effective purchases, and maintaining an adequate inventory of materials. This role requires a strong background in procurement, supply chain management, and vendor relations.
KEY RESPONSIBILITIES:
PROCUREMENT STRATEGY:
Ø Develop and implement procurement strategies in line with the company’s goals and objectives.
Ø Ensure that procurement processes are efficient, cost-effective, and compliant with company policies and industry standards.
VENDOR MANAGEMENT:
Ø Identify, evaluate, and select suppliers and vendors.
Ø Negotiate contracts, terms, and pricing with suppliers and manage ongoing vendor relationships.
Ø Monitor supplier performance and address any issues related to quality, delivery, and cost.
PURCHASING & INVENTORY CONTROL:
Ø Oversee the purchase of all materials, goods, and services required by the company.
Ø Monitor inventory levels and reorder materials as necessary to maintain smooth operations.
Ø Ensure the accuracy and completeness of purchase orders and invoices.
BUDGET & COST MANAGEMENT:
Ø Develop and manage the procurement budget.
Ø Analyze market trends and cost variations to identify opportunities for savings.
Ø Ensure that all procurement activities are within the established budget.
QUALITY CONTROL:
Ø Ensure that all purchased goods meet quality standards and specifications.
Ø Work closely with the quality control team to resolve any discrepancies in product quality or delivery.
COMPLIANCE & DOCUMENTATION:
Ø Maintain accurate records of purchases, contracts, and supplier communications.
Ø Ensure all procurement activities comply with company policies, legal regulations, and environmental guidelines.
TEAM MANAGEMENT (IF APPLICABLE):
Ø Manage and mentor a team of procurement officers or assistants.
Ø Coordinate training and development opportunities for team members to enhance their skills.
REPORTING & ANALYSIS:
Ø Prepare regular reports on procurement activities, supplier performance, and budget status for senior management.
Ø Analyze procurement data to identify trends, cost-saving opportunities, and potential risks.
CROSS-FUNCTIONAL COLLABORATION:
Ø Work closely with departments such as finance, operations, and production to ensure the timely and cost-effective acquisition of materials and services.
Ø Address any procurement-related issues that arise from other departments.
SKILLS AND QUALIFICATIONS:
Ø Bachelor’s degree in Business Administration, Supply Chain Management, or a related field (Master’s degree is a plus).
Ø Proven experience (typically 3-5 years) in procurement, purchasing, or supply chain management.
Ø Strong negotiation, communication, and interpersonal skills.
Ø In-depth knowledge of procurement processes, supplier evaluation, and contract management.
Ø Proficiency in Microsoft Office (Excel, Word, PowerPoint) and procurement software (e.g., SAP, Oracle, or similar tools).
Ø Strong analytical and problem-solving skills.
Ø Knowledge of industry-specific products and materials (if relevant).
PREFERRED QUALIFICATIONS:
Ø Certification in procurement (e.g., Certified Professional in Supply Management (CPSM), Chartered Institute of Procurement & Supply (CIPS).
Ø Experience in managing a team and handling cross-functional projects.
Ø Familiarity with international procurement processes (if applicable).
WORK ENVIRONMENT:
Ø Typically works in an office environment but may occasionally visit suppliers or production facilities.
Ø Full-time position, Monday to Friday, with possible overtime depending on project deadlines and procurement requirements.
This role requires strong analytical, organizational, and negotiation skills, as well as the ability to manage multiple tasks efficiently. The ideal candidate will have a solid understanding of supply chain management, excellent communication skills, and the ability to build lasting relationships with vendors and suppliers.
