About the Role

We are looking for a proactive, organized, and tech-savvy Executive Assistant & Founder’s Office Associate to work closely with the Founder and support day-to-day execution across the business.

This is not a traditional administrative role. The ideal candidate will support executive operations, research, coordination, documentation, follow-ups, and strategic projects across multiple business functions. The role requires someone who is resourceful, detail-oriented, and comfortable working in a fast-paced environment.

Key Responsibilities

  • Manage the Founder’s calendar, meetings, reminders, travel arrangements, and follow-ups.
  • Prepare meeting notes, action items, emails, presentations, documents, and reports.
  • Conduct market research, competitor analysis, company research, and lead generation research.
  • Support special projects across sales, operations, partnerships, marketing, and business strategy.
  • Track tasks, deadlines, and project progress to ensure timely execution.
  • Coordinate with internal teams, vendors, customers, and external stakeholders.
  • Create and maintain trackers, spreadsheets, databases, and organized filing systems.
  • Leverage AI tools for research, content drafting, summarization, planning, and productivity enhancement.
  • Learn and utilize business systems such as Google Workspace, Microsoft Office, Airtable, Notion, CRM platforms, and project management tools.
  • Handle confidential information with professionalism, discretion, and integrity.

Ideal Candidate

  • Highly organized, dependable, and detail-oriented.
  • Excellent written and verbal communication skills.
  • Comfortable working directly with a Founder and senior leadership.
  • Self-driven and capable of managing diverse responsibilities with minimal supervision.
  • Strong research, analytical, and documentation skills.
  • Tech-savvy and eager to learn new tools and systems.
  • Familiarity with AI tools such as ChatGPT, Gemini, Claude, or similar platforms.
  • Proficient in Google Workspace and/or Microsoft Office Suite, especially Docs, Sheets, Slides, Gmail/Outlook, and Calendar.
  • Adaptable and comfortable working across multiple business functions.
  • Trustworthy, professional, and capable of handling sensitive information.

Preferred Experience

  • Prior experience as an Executive Assistant, Founder’s Office Associate, Business Operations Associate, or similar role.
  • Experience working with startups, founder-led businesses, apparel, sustainability, manufacturing, trading, or B2B companies is preferred.
  • Experience using CRM systems, spreadsheets, task management platforms, and AI-powered productivity tools is an advantage.
